Equipment Coordinator Supervisor
Position Overview
The Equipment Coordinator Supervisor is responsible for the day-to-day and ongoing operations of the Equipment Coordination Team and any projects assigned. This position has emphasis on overseeing all functions and operations within the scope of the team which is primarily responsible for processing incoming requests from internal and external customers for audio-visual event related equipment. The Equipment Coordination Team will administer all order entry processes including order updates with a focus on maximising equipment utilisation and act as a primary liaison to the Warehouse teams, supporting Venue and Production team’s needs. Responsible for assisting to reduce subrental costs, increasing owned equipment utilization, improving internal customer service, assisting with the implementation of cost-savings strategies, and supporting the implementation of efficient transportation process between warehouses, venues and events. This position will supervise all of the functions of the Equipment Coordination Team.
The Equipment Coordinator Supervisor will report to the Manager of Labour & Technology and Warehouse Manager.
Key Job Responsibilities
Customer Service & Order Entry
- Drive Results - Coordinate and lead warehouse team to ensure daily tasks are completed on time and offer technology & service solutions to meet customer needs while focusing on increasing utilisation of warehouse & venue housed inventory.
- See the Bigger Picture - Monitor inventory levels to maximise availability and utilisation for high demand products
- Ensures high-accuracy physical inventory results and quality control and repair standards
- Do the Right Thing - Work closely with internal and external customers to evaluate service levels and ensure all expectations are met
- Process equipment requests and order entry.
- Initiate and manage sub-rental of equipment where necessary.
- Respond in a timely manner to all orders and inquires.
- Follow up with field team post-event when needed.
- Gather equipment shortage data and make efficient use of processes to source equipment from internal and external sources to fulfil those needs.
- Oversee internal equipment transfers with an emphasis on keeping company-owned equipment in use and available as often as possible to maximize cost reduction.
- Ensure that the Inventory Management System is updated and maintained regularly
- At all times, the Equipment Coordinator Supervisor is expected to abide by all health and safety requirements to company and international standards, and ensure that all team members and subcontractors working in the warehouse adhere to the same.
- Deliver World Class Service - Ensure the highest standards of service while maintaining operation efficiency and a cohesive relationship with other departments
- Maintain a high level of working knowledge of equipment owned and used within the company
People Management
- Increase operational effectiveness by supervising direct reports and communicating Encore Core values, strategies, and objectives
- Monitor and improve the team’s efficiency and productivity using standards and KPI’s
- Work with direct reports to improve overall service while driving efficiencies through process improvement and best practices
- Establish clear expectations regarding responsibilities, behaviours, and daily activities.
- Value People - Provide training and development opportunities for team members and ensure a safe work environment consistent with company values.
- Provide continuous feedback to direct reports and conduct annual reviews
Administration & Reporting
- Inventory system entry of all warehouse sourced orders and accurate internal billing.
- Ensure all system stock levels are up to date.
- Maintain barcoded and non-barcoded items within the system for accuracy.
- Communication on shortages and overdue items to be reconciled.
- Developing strategies for maximizing internal resources to lower costs.
- Reporting on consistent shortages which could show requirements for capex spend.
- Developing strategies for effective handling of short-term shortages

Job Requirements
- Strong competency in the utilisation of IT systems.
- Excellent ability with Microsoft Excel.
- Strong analytical and problem-solving skills.
- Strong Organisational skills.
- Excellent verbal and written communication skills.
- 3+ years of experience within the audio-visual or related service industry preferred.
- Demonstrated ability to work in a fast paced, high-volume environment while being able to think creatively and effectively solve problems.
- Total commitment to service excellence.
- Knowledge of event audio-visual equipment would be highly advantageous.
- Previous experience with EasyJob essential.
- Excellent organisational and time management skills with the ability to meet or exceed multiple concurrent deadlines.

Work Environment
Work is generally performed at an office that is moderately quiet. Team members will occasionally visit other work locations for meetings or for other business reasons. Working times will include days and may include evenings, weekends and holidays. Team members must adhere to appearance guidelines as defined by Encore.
